Any user can receive direct messages to their Vision(X) account. These messages can be sent to and from other team members in your VX organization, or from patients directly via their patient portal accounts. This tutorial explores the Vision(X) message center in detail.
Open the Vision(X) Message Center
Your user icon is always visible in the upper-right hand side of the screen. A numerical indicator will also appear here to tell you how many unread messages you have. Click the user icon, then select "Messages: to open the Vision(X) message center.
Alternatively, your Home tab includes a "Messages" box that previews your current message center contents. Click "View More" to open the Vision(X) message center:
Inbox
The Vision(X) message center is separated into two main sections: the user's "Inbox" and "Archive" tabs. Users will always be shown their Inbox by default, displaying any new/unread messages (denoted by a blue dot), as well as any previously-read messages that have yet to be archived by the user.
Users can use the drop-down menus to filter their view of messages by sender ("From" either a staff member or patient), or by name searching a patient referent associated with that message. Advanced search options include "subject category" (message categories can be configured the organization level) and "Type" (VX user or patient message) to use as needed.
To view any message, click the subject title line:
The message will display. From this menu, users have the option to reply directly in a threaded conversation with the sender of that message, or move that message out of their inbox using the "Archive" command button, or leave the message in their Inbox with the "unread" designation by using the "Mark unread" command button. Alternatively, users can close this menu to leave the message in their Inbox as "read" by clicking the "X" button:
Archive
The archive tab contains all messages that have been manually assigned to that location by the user. This is done to preserve message data while allowing users to keep a narrowly-focused inbox. All messages in your Archive can be opened and viewed, and are searchable using the same parameters options as the Inbox. Vision(X) messages cannot be deleted, and must ultimately reside in either the user's Inbox or Archive tabs.
Compose a Message
To begin writing a message, click "New Message." The composition menu will open. Enter required information (denoted by the blue asterisk) by selecting either a Patient or User recipient type. Search by patient or user name by clicking the "people" icon for either the "To" or "Patient Reference" field as needed. Once recipients are all selected, compose your message in the "Message" text box. When finished, click "Send":
Tasks and Actions
Users have the option to use messages to notify one another of task items that they would like to see completed. These "Task" messages are visible in their own tab within the message center. Click the "Tasks" toggle to view your Messages and Tasks "To Do" page. Click "New Task" to assign a new task via your Vision(X) messenger:
The new task message menu will display. Complete the required fields (as marked by the blue asterisk), as well as any optional fields, such as the relative level of importance to indicate priority, then click "Create Task" to send the message:
You can view a complete list of your outstanding tasks, completed tasks, created tasks, and archive using the tab toggle on the left-hand side of your screen. Additional information related to your task status can also be viewed here:
In the "Actions" column, click the ellipsis dots to mark your task as complete/incomplete, or to archive the message thread:
When viewing messages from different screens in your Vision(X) message center, click the Action column ellipsis to view all available actions related to that message in relative to its current location/status:
