Navigating Vision(X) Invoices

Updated on

Invoices in Vision(X) are regularly created in the course of a patient's exam appointment, and can also be created from any individual patient profile as needed. This tutorial offers a broad overview of where various information fields appear on the standard Vision(X) invoice.

Patient Information

Basic patient information, such as name, age, sex, and date of birth are listed in the upper-left of the standard invoice, along with Patient Account Balance. Date of Service will populate with today's date by default, but this can be adjusted as necessary by clicking the calendar icon:

Invoice Balance

Balances for fees, discounts, insurance cost, and payments are totaled in a box in the upper-right of the invoice, right beside the invoice number. These totals will update in real time as you make changes to values within the invoice's line items:

ICD Codes and Diagnosis Pointers

ICD codes will appear in a line directly above the Invoice Items field:

Invoice Items

This box displays all billed line items on the invoice. Additional line items can be added using the "+Add Service", "+Add Product Order", "+Add Miscellaneous Items" buttons:

Vision(X) users also have the option to customize their default view of the various points of information contained on the invoice by clicking "Customize." These view filters will apply only to each user's selected preferences, and can be adjusted at any time, either individually or by selective "Reset to Default":

Notes

Click the plus sign in the lower-right portion of the screen to add a new note to the invoice:

Notes display in reverse-chronological order, with the newest note always on top:

Print, Post, & Pay

The bottom-right portion of the invoice contains all remaining options to delete the invoice, print the invoice, post the invoice (converting its' status from "open" to "posted", and/or collection payment from the patient:

Posted Invoice Functions

Wen any amount of patient balance is collected, and/or the invoice is manually posted by the user, its status will change. This is indicated by the dot color next to the invoice number (green for Open invoice status, red for posted invoice status.) After an invoice converts to "posted" status, additional transaction options appear to allow for returns, refunds, and transfers of billing responsibility:
