Users can manually add new line items to an open invoice as needed. This tutorial will explore ways to add, edit, and/or remove professional services, product orders, and miscellaneous items from an open Vision(X) invoice.
Select/Create an Invoice
In the Patients tab, look to "Invoices" toggle in the information box near the bottom of the general summary. Click the number of any existing invoice that you would like to work with. Alternatively, click "Invoice" in the Create New toolbar to begin working with a new, blank invoice:
Invoice Items
All line items will populate in a dedicated field for "Invoice Items." An existing invoice may included billable items coded to exam functions and/or actions taken by another user. A new invoice will not have any items on it until they are added by the user:
Add Service
To add a professional service, click "+ Add Service." A new line item will appear on the invoice. Use the drop-down menus or search by text in the CPT/Item ID field to choose from any coded item in your practice's site. Then enter values for the remaining required fields, which are denotes by red outline:
Add Product Order
To add new line items related to product orders, click "+ Add Product Order." Using the menu panel on the right hand side of the screen, select from existing order quotes (if any exist), or click "Create new order" to begin building an order from scratch. When finished, the order will appear directly on the invoice:
Add Miscellaneous Item
To add line items for things like retail products or other expenses, click " + Add miscellaneous item." A new line item will appear on the invoice. Use the drop-down menus or search by text in the CPT/Item ID field to choose from any coded item in your practice's site. Then enter values for the remaining required fields as necessary:
Remove Line Items from an Open Invoice
While the invoice remains open, users can freely edit any fields and/or remove items without adversely affecting the practice's ability to bill/process payments. Simple look to the "Actions" column and click the ellipses dots, then select "delete item" to remove the entire line item from the Invoice Items field:
Users can delete a product order from an invoice the same way, or they can click "Unlink the order" at the bottom of the screen to remove it from the invoice while preserving the order in "Quote" status, where it will remain available and tied to the patient's profile for future use:
