How to Process Multiple Rx Orders

As of September 23, 2024, BJ's Uprise users will no longer sell more than one eyewear order (Rx glasses, frame-only, or contact lenses) on a single invoice. This article will explicate new workflows for selling multiple eyewear orders in a single patient transaction by selling each order on its own invoice, then reconciling the net patient balance owed to collect payment.

1. For each Rx order, follow all Basic Workflow standards and assign each order to its own, unique invoice

Refer to Basic Workflow for complete tutorials on creating and processing Rx order.

For example, if a member would like to utilize the "50% off 2nd Complete Pair" promotion, two invoices should be created, one for each pair of eyewear. The first invoice will require no discounts to be applied, as the member would need to purchase one order at full price.

NOTE: The first pair being sold in this example should be the order with the highest retail value.

2. With each eyewear order on separate invoices, click "Post" on each invoice to convert them to "posted" status

3. Find the member's profile using the "Patients" tab. Click "Ledger" to view the total outstanding balance of invoices balances and collect payment

Click "Pay Balance" to open the payment window.

NOTE: Invoices must be in POSTED status with a patient balance owed in order for the "Pay Balance" button to appear. Return to Steps 1 and 2 as needed before continuing.

4. In the payment window, select the invoices that the member will be paying today

NOTE: All invoices that are in "posted" status will appear in this window, regardless of how old they may be. Be sure to total the invoices that contain today's eyewear orders

Ensure that the correct amount owed is listed in the Payment column for the invoices that the member will be paying for today, then select the appropriate payment details and complete the required fields and click SAVE:

4. The Rx orders are in "Ready to Order" status, and can be further processed as normal from the Patient Summary or Products tabs
